Job Description
**Job title** Apprentice Administrator **Role Summary** Assist the Health Visiting Team with all administrative duties under supervision. Acquire and apply NHS administrative skills, maintain accurate data entry in clinical reporting and other systems, support event organization, compile reports, and progressively build toward an accredited apprenticeship qualification over an 18‑month fixed‑term period. **Expactations** - 18‑month fixed term apprenticeship with progression toward recognised qualification. - Completion of mandatory induction and ongoing training. - Must be available to work across multiple sites within the Trust as required. - Adherence to data protection, confidentiality and health‑and‑safety procedures. - Demonstrated willingness to learn new NHS systems and software. **Key Responsibilities** - Maintain service information systems and databases (e.g., clinical reporting, Excel). - Ensure accurate, timely data entry and reporting. - Organise and administer events and appointments as requested. - Collate information for reports and research documents. - Deliver client–focused service, fostering positive relationships with patients and colleagues. - Follow procedures for storing, filing, archiving, and retrieving data. - Identify and act on missing or misplaced notes as directed. - Maintain confidentiality at all times. - Produce correspondence, agendas, minutes, and reports; edit system‑generated letters. - Highlight operational concerns and recommend system improvements. - Distribute satisfaction questionnaires and audits. - Open, sort post, fax, and photocopy. - Provide cover for other teams or services across Trust sites when required. **Required Skills** - Level 1 literacy and numeracy. - Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and Teams. - Strong organisational and time‑management abilities. - Effective verbal and written communication in a customer‑focused environment. - Ability to uphold data protection standards and maintain confidentiality. - Adaptability to work within a busy team and on varied sites. **Required Education & Certifications** - Minimum Level 1 literacy and numeracy. - Meets training provider’s entry requirements for the apprenticeship programme. - No specific degree required; apprenticeship training will provide formal qualification.
