**Job Title:** Program Coordinator – Automation & AI Enablement
**Role Summary:**
Coordinate and automate a cross‑functional War Room initiative that accelerates high‑value enterprise deals. Manage intake, scheduling, and communication across global time zones, design AI‑enabled workflows, and generate actionable reporting.
**Expectations:**
- 20 hours per week (part‑time, remote).
- Proactive, independent problem‑solver in a fast‑moving environment.
- Ability to work across multiple time zones (7 AM–5 PM PST) and manage schedules, conflicts, and communications.
- Deliver continuous improvement of the program and its automation layers.
**Key Responsibilities:**
1. **End‑to‑End Program Coordination**
- Review and qualify deal submissions.
- Schedule War Room sessions, resolve conflicts, and communicate logistically via Slack/email.
- Coordinate field sellers and internal stakeholders to ensure participation and preparedness.
- Attend sessions to capture follow‑ups and ensure smooth execution.
2. **Workflow Automation & AI Enablement**
- Design, build, and maintain automated workflows for intake, scheduling, follow‑up, and reporting.
- Integrate AI transcription tools, CRM connectors (Salesforce), scheduling platforms, and Slack bots.
- Create repeatable systems that reduce manual overhead and improve task tracking.
3. **Session Support & Follow‑Through**
- Organize, record, and document sessions.
- Distribute post‑session notes and AI‑generated summaries.
- Launch and manage dedicated Slack channels for follow‑up actions.
4. **Reporting & Analytics**
- Build dashboards and reports in Excel, Salesforce, and Tableau (or equivalent).
- Provide visibility into program volume, conversion, and impact.
- Identify bottlenecks and recommend strategy improvements.
**Required Skills:**
- 2–4 years of program or project operations experience in sales, GTM, or customer‑facing roles.
- Advanced proficiency in Excel, Salesforce, and Tableau (or similar BI/reporting platforms).
- Proven experience building automated workflows with Zapier, Make (Integromat), Salesforce Flows, or AI integrations.
- Strong coordination and communication skills; adept at managing tight schedules across time zones.
- Self‑starter, able to work independently and drive continuous improvement.
**Required Education & Certifications:**
- Bachelor’s degree in Business, Computer Science, Information Systems, or related field.
- Preferred certifications: Salesforce Administrator, Zapier/Camp Automation, or equivalent workflow/automation credentials.
