Job Title: Administrative Assistant 3
Role Summary:
Support the Executive Producer of a large gaming franchise by managing production calendars, coordinating cross‑functional meetings, tracking milestone action items, and maintaining operational hygiene across a complex, deadline‑driven environment.
Expectations:
* Deliver high‑level executive support to a Director/Sr. Director‑level leader for a 12‑month engagement.
* Prioritize and align all activities to production milestones, sprint reviews, vendor deadlines, and partner reviews.
* Maintain confidentiality, discretion, and proactive risk management.
Key Responsibilities:
* Own the Executive Producer’s calendar – schedule milestone gates, sprint reviews, partner reviews, and cross‑functional syncs; adjust proactively for certification crunches and vendor dependencies.
* Structure milestone reviews: prepare agendas, consolidate materials, capture decisions, and track action items across Creative, Engineering, and Production leadership.
* Distribute pre‑read materials and ensure follow‑through on execution forums.
* Coordinate with Production, Business Operations, Studio Ops, and external vendors to maintain clarity across workstreams and cross‑studio integrations with central Xbox teams.
* Manage operational hygiene: update distribution lists, route communications, track off‑sites, production summits, and milestone events.
* Arrange travel and high‑visibility engagements tied to production reviews.
* Identify conflicts, duplication, or meeting sprawl; surface risks and signal issues, escalating appropriately while protecting the Executive Producer’s bandwidth.
Required Skills:
* 5‑8+ years of senior executive support in complex organizations (gaming, technology, film production, or live‑service environments).
* Expert calendar management and proficiency with MS Office 365, M365 tools (MSExpense, Employee Central, SharePoint, MStravel).
* Minimum 5+ years project/event planning, space management, and onboarding/offboarding coordination.
* Strong prioritization, organizational judgment, and ability to operate independently in ambiguous, deadline‑driven settings.
* High confidentiality, emotional intelligence, and discretion.
Required Education & Certifications:
* Bachelor’s degree (or equivalent professional experience) in business administration, communications, or related field.
* No mandatory certifications; preference for professional certifications in project management (e.g., PMP) is a plus.
