Job Description
**Job Title** Administrative Assistant to Corporate Services **Role Summary** Provide comprehensive administrative support to the senior executive team. Manage schedules, travel, meetings, confidential correspondence and special projects, ensuring efficient office workflow and effective cross‑departmental coordination. **Expectations** - Maintain a proactive, professional, and independent working style. - Handle sensitive information with discretion and confidentiality. - Deliver high‑quality written and verbal communication. - Meet deadlines for travel, expense reports, minutes and documentation. **Key Responsibilities** - Organize and distribute agendas; record and distribute meeting minutes. - Coordinate complex travel itineraries, accommodation, and expense reports. - Maintain senior executives’ calendars, prioritizing competing requests. - Prepare and edit confidential correspondence, reports, and presentations. - Facilitate communication within and outside the executive office. - Track and report status of special projects and cross‑department initiatives. - Coordinate catering, logistics and documentation for meetings and events. - Respond promptly to urgent requests and resolve issues proactively. **Required Skills** - Proven experience supporting senior staff (≥3 years). - Fluent oral and written English; French language knowledge is an asset. - Advanced proficiency in Microsoft Office (Word, Outlook, Excel, PowerPoint). - Strong written, analytical and critical‑thinking abilities. - Excellent interpersonal and communication skills. - Ability to manage multiple priorities and projects simultaneously. - High level of professionalism, independence, and initiative. - Experience handling sensitive and confidential information. **Required Education & Certifications** - Post‑secondary education or equivalent in a related field. - Valid Canadian work permit; Police Record check (≤6 months old) required.
