Job Description
Job title: Proposals Coordinator Role Summary: Coordinate and develop RFx responses in the transmission, substation, distribution, and telecommunications sectors, ensuring brand consistency and high-quality submissions throughout the bid life cycle. Expectations: Execute the full proposal life cycle independently or as part of a team, demonstrating strong organization, problem‑solving, and communication skills. Key Responsibilities: - Serve as primary client liaison from inquiry to post‑bid. - Identify deliverables, set schedules, and assign responsibilities to the response team. - Lead proposal kick‑off and review meetings, track action items, and enforce deadlines. - Proofread and ensure proposals meet company standards for accuracy, quality, marketing focus, and brand. - Submit responses via electronic portals, email, and hard copy. - Develop win strategies, key messages, and differentiators. - Coordinate and document Bid Debriefs and Lessons Learned. - Create and update boilerplate documents, templates, project profiles, and team member resumes. - Manage document control and distribution of client materials. - Maintain data in internal systems and adhere to reporting requirements. - Act as client liaison during contract negotiations and project award notifications. - Assist RFx turnover by providing project teams with submitted documentation and supporting materials. Required Skills: - High accuracy and confidentiality with proprietary information. - Excellent interpersonal, verbal, and written communication. - Strong organizational and time‑management abilities. - Analytical and problem‑solving skills; decisive decision making. - Attention to detail; meticulous editing. - Proficiency with proposal software, Microsoft Office, and document management systems. - Cultural awareness, honesty, trustworthiness, and flexible work ethic. Required Education & Certifications: - Post‑secondary degree in Marketing, Communications, Business, or related field (or equivalent experience). - Minimum 2+ years as a Proposal Coordinator or related role. - Project Management experience or training (asset). - Demonstrated technical writing and schedule‑driven work experience.
