**Job Title:** Administrative Assistant
**Role Summary:**
Provide comprehensive administrative support to business partners on a 7‑month contract. Manage calendars, meetings, travel, procurement, vendor relations, IT requests, and onboarding activities while maintaining confidentiality and high service quality in a fast‑paced environment.
**Expectations:**
- Deliver accurate, timely work with minimal supervision.
- Prioritize competing tasks, anticipate partners’ needs, and proactively contribute to process improvements.
- Maintain professional demeanor, collaborate effectively with both internal and external stakeholders, and handle sensitive information with discretion.
**Key Responsibilities:**
- Schedule, coordinate, and support complex meetings, video conferences (Google Meets, Zoom, global webcasts) and events.
- Manage comprehensive calendars for multiple business partners, including heavy scheduling of meetings and excursions.
- Arrange travel arrangements, prepare itineraries, and process travel expenses.
- Process expense reports, invoices, purchase orders, contracts, and vendor maintenance.
- Submit and track facilities, IT, and site services requests.
- Facilitate new‑hire orientation, onboarding, and interview logistics.
- Maintain electronic filing systems, order supplies, and manage room setup for meetings.
- Greet visitors, ensure policy compliance, and integrate communication among departments.
- Participate in administrative team meetings, projects, and continuous improvement initiatives.
**Required Skills:**
- 2–3 years of administrative or office support experience.
- Advanced proficiency in Google Workspace and common video‑conferencing tools.
- Strong calendaring, travel logistics, and event‑planning abilities.
- Experience with procurement, purchase orders, invoicing, and vendor management.
- Excellent written and verbal communication, customer‑service orientation, and confidentiality handling.
- Strong problem‑solving, decision‑making, and multitasking skills.
- Ability to work independently and within a team, prioritize tasks, and follow up on deliverables.
**Required Education & Certifications:**
- High school diploma or equivalent (college degree preferred but not mandatory).
