Job Description
**Job Title:** Project Administration Specialist **Role Summary:** Supports the Director of Product and Support by organizing, tracking, and reporting on multiple project initiatives. Ensures timelines, deliverables, and communication are maintained to keep projects aligned with departmental and company priorities in a fast‑paced SaaS environment. **Expectations:** - Proactively manage project schedules and documentation. - Identify and resolve potential delays early. - Communicate status, risks, and milestones clearly to leadership and team members. - Exercise sound judgment on routine operational decisions. - Maintain high accuracy, detail‑orientation, and accountability. **Key Responsibilities:** - Maintain project timelines, task lists, and deliverable tracking. - Monitor progress, follow up on action items, and flag issues. - Create and update project documentation, reports, and dashboards. - Schedule meetings, prepare materials, and manage follow‑ups for the Director. - Serve as primary liaison between the Director and project teams. - Provide regular status updates, risk assessments, and milestone reports. - Facilitate open communication and provide constructive feedback. - Make small operational decisions and document outcomes. - Prioritize activities and resources to align with departmental goals. **Required Skills:** - Strong organizational and time‑management abilities. - Excellent written and verbal communication. - Ability to engage with cross‑functional teams and senior leadership. - Proficiency with project management tools (e.g., Jira, Confluence or equivalents). - Proactive, self‑motivated, and capable of handling multiple priorities. - High attention to detail and accuracy in reporting. - Ability to deliver honest, constructive feedback professionally. - Adaptability to changing priorities in a SaaS environment. - Reliable follow‑through and a clear sense of accountability. **Required Education & Certifications:** - Minimum 3 years of experience in project administration, operations, or a similar coordination role. - Bachelor’s degree or equivalent experience preferred (not mandatory). - Familiarity with SaaS or technical product development processes is an asset.
