Job Description
Job title: Contracts Administrator Role Summary: Manage end‑to‑end administration of service contracts for medical equipment, ensuring compliance with SLAs, accurate data entry, and timely renewal processing. Support key accounts, internal contract managers, and customers through effective communication and logistical coordination. Expectations: Operate 37 hours per week, Monday–Friday; deliver accurate contract documentation, maintain up‑to‑date Salesforce records, and collaborate with Service Contract Managers and Regional Contract Managers. Consistently meet renewal deadlines, uphold data integrity, and address customer queries as first point of reference. Key Responsibilities: - Process and dispatch new and renewal service contracts following established procedures, notifying customers of upcoming expirations. - Prepare contract quotations 30–90 days before renewal, applying pricing strategy and coordinating with Contract Manager/RSM. - Update asset data, maintenance plans, and Salesforce records for all contracts. - Verify customer address and name data, liaising with Data Compliance for amendments. - Conduct asset list checks and review FSE work activity to schedule pre‑expiry maintenance. - Respond to and resolve contract queries, providing detailed knowledge of service policy. - Support Contract Managers/RSMs during customer site visits with administrative assistance. Required Skills: - Experience with ERP and CRM systems (e.g., SAP, Salesforce) - Strong organisational and time‑management abilities - Excellent customer service, verbal and written communication - Proficiency in Microsoft Office (Excel, Outlook, Word) - High attention to detail, analytical approach, and data‑management competency - Self‑motivated, proactive, and team‑player under pressure Required Education & Certifications: - Minimum of a high‑school diploma or equivalent; bachelor’s degree in business, commercial law, or related field preferred. - No specific professional certifications required.
