Job Description
Job Title: People and Culture Administrator (Unpaid Student Placement / Co-op Winter) Role Summary Assist People and Culture Associate in all core HR functions to enhance employee experience. Support recruitment, onboarding, offboarding, policy compliance, training records, and system maintenance while developing professional HR knowledge. Expectations - Complete assigned tasks within deadlines. - Maintain confidentiality and professionalism. - Demonstrate initiative in learning HR processes and legislative requirements. - Work independently and collaboratively across teams. - Arrange and attend training, meetings, and interviews as needed. Key Responsibilities - Coordinate job postings, job fairs, shortlisting, interview scheduling, and reference checks. - Process offer letters, benefits information, and new‑hire onboarding procedures. - Manage orientation and training participation for new hires. - Maintain staff and student training records compliance with AODA, WHMIS, Health & Safety. - Conduct offboarding activities, exit interviews, and employment verification. - Assist policy development and procedural documentation to stay compliant with legislation. - Create, maintain, and update job descriptions, postings, and intranet content. - Enter and verify employee data in People & Culture database. - Troubleshoot system issues, ensure required documentation is filed. - Support annual compliance audits and routine employee file review. - Act as liaison between staff and management for effective communication. - Participate in Health & Safety policy support and Health & Safety Committee as needed. - Support student placement process, committee meetings, and outbreak management if necessary. - Contribute to people & culture initiatives such as performance management, recognition, and training development. Required Skills - Strong office administration: accuracy, organization, multitasking. - Proficient computer skills; experience with HRIS/databases (preferred). - Basic knowledge of Employment Standards, Human Rights Act, and related legislation. - Excellent written and verbal communication; rapport building with all levels. - Decision‑making ability; independent, ethical, reliable, time‑management. - Ability to establish and maintain relationships with staff, clients, and external partners. - Comfortable with scheduled office hours and remote work days. Required Education & Certifications - Currently enrolled in post‑secondary Human Resources Management or related field (or equivalent education/experience). - Valid vulnerable sector screening (criminal background check). - WSIB licence provided by college/university. - No additional certifications mandatory; ongoing learning in HR practices appreciated.
