Job title: Civil Engineering Project Coordinator – Fly-In/Fly-Out
Role Summary:
Coordinate planning, scheduling, cost control, and communication for large-scale civil engineering infrastructure projects in a fly-in/fly-out environment. Provide proactive monitoring, reporting, and liaison functions across design, construction, and subcontractor teams to ensure project objectives are met on time and within budget.
Expectations:
Deliver accurate, data-driven project updates and maintain rigorous documentation and version control while working in a rotational 20/10 schedule on a fly-in/fly-out site.
Key Responsibilities:
- Lead project planning activities: define objectives, deliverables, sequences, constraints, and resource requirements.
- Develop, update, and maintain the project schedule using MS Project; track progress against planned milestones.
- Monitor actual progress versus schedule; analyze delays, constraints, or scope changes.
- Recommend schedule recovery, sequencing optimizations, and resource adjustments.
- Prepare progress reports, dashboards, and briefing documents for project leadership.
- Manage cost tracking: monitor commitments, invoices, variances, and forecasts; update financial tracking tools; produce monthly cost reports.
- Support budget forecasting and revision processes.
- Facilitate information flow among design, construction, monitoring teams, and subcontractors.
- Produce, format, and circulate meeting minutes, reports, registers, and tracking charts.
- Maintain strict version control of plans and key documents.
- Document contractual issues; compile data for decision-making.
- Assist in bid analysis and preparation of tenders.
- Attend coordination meetings, record minutes, and follow up on action items.
- Conduct periodic site visits to document construction progress and verify schedule alignment.
- Resolve logistical or coordination challenges identified on site.
Required Skills:
- 5+ years in civil infrastructure project management (large-scale).
- Proficient with MS Project, Microsoft Office Suite, AutoCAD, and Bluebeam.
- Strong organizational, detail-oriented, and prioritization abilities.
- Excellent written and verbal communication in French (business level).
- Ability to work collaboratively in cross-functional team environments and under site rotational schedules.
- Problem-solving skills and proactive issue resolution.
Required Education & Certifications:
- Bachelor’s degree in Civil Engineering.
- Certified/licensed civil engineer with membership in the Ordre des ingénieurs du Québec (or equivalent engineering regulatory body).
- Familiarity with Quebec's Ministry of Transportation (MTQ) procedures and codes is preferred.
