Job Description
**Job title** Meetings and Events Project Manager (12‑month fixed‑term contract) **Role Summary** Head the planning, execution and post‑event reporting for global pharmaceutical client meetings, congresses and related events. Oversee venue selection, logistics, sponsorships, budgeting, invoicing and client communication. Travel internationally for site inspections and on‑site management, delivering profitable and compliant events aligned with client objectives. **Expectations** - Deliver events on time, within budget and to client satisfaction. - Maintain accurate financial tracking and reporting. - Foster strong supplier and client relationships. - Promote sustainability, agency values and excellent client service. - Support new team members as required. **Key Responsibilities** - Manage venue and logistics for congress attendance, business centre use, dinners, breakout sessions and accommodation. - Coordinate congress sponsorship activities, approvals, and liaison with client contracting teams. - Align client requirements with third‑party suppliers and internal service providers. - Produce and circulate weekly status updates and post‑event metrics. - Conduct on‑site travel for site inspections, planning meetings and event delivery. - Prepare, maintain and reconcile event budgets; approve invoices and monitor cash flow. - Identify and charge for out‑of‑scope activities; track cost‑savings. - Ensure compliance with invoicing processes and cross‑charge budgeting. - Work with support departments to meet client measurables. - Mentor new starters (Buddy role). - Act as agency ambassador and uphold sustainability practices. **Required Skills** - Minimum 4 years experience in corporate event management. - Proven ability to manage end‑to‑end event budgets and financial controls. - Strong client liaison and stakeholder management. - Excellent organisational, detail‑oriented and accurate delivery. - Intermediate Excel proficiency (complex spreadsheets). - Comfortable with international travel and on‑site site visits. - Motivating team player with professional communication skills. **Required Education & Certifications** - Tertiary qualification or equivalent experience in event management, business or related field. - Relevant industry certifications (e.g., Meeting Professionals International – MPI, Chartered Institute of Meticulous Service – CIMP) preferred but not mandatory.
