**Job title**
Marketing & Budget Coordinator
**Role summary**
Supports day‑to‑day marketing operations by tracking budgets, managing dealer co‑op claims, coordinating fleet logistics, and producing communication and presentation materials.
**Expactations**
Deliver accurate and timely budget reconciliation, ensure compliance with co‑op program rules, maintain effective fleet logistics, and provide high‑quality marketing updates and presentations. Work collaboratively with agency, finance, vendor, and internal teams to meet evolving priorities.
**Key responsibilities**
- Track, reconcile, and forecast marketing budgets; process estimates, invoices, and purchase orders.
- Conduct monthly budget review meetings, coordinate with agency finance, AP/AR, legal, and procurement.
- Oversee dealer co‑op program: review claims for accuracy, manage approvals, maintain reporting, and communicate status to dealers.
- Distribute marketing updates via the dealer portal, highlighting national campaigns and product launches.
- Coordinate fleet vehicle ordering, logistics for events, media activities, and test‑drive programs; liaise with stakeholders and external partners.
- Prepare PowerPoint presentations for internal meetings, executive reviews, and dealer WebEx sessions.
- Maintain accurate records, documentation, and communications across departments.
**Required skills**
- Minimum 2 years of marketing coordination experience (automotive/luxury preferred).
- Strong budgeting, invoicing, and vendor management skills.
- Proficient in Microsoft Office (Excel, PowerPoint).
- Excellent written and verbal communication; bilingual French/English is a strong asset.
- Detail‑oriented, organized, with strong follow‑through.
- Ability to manage multiple priorities in a team setting, be proactive, adaptable, and accountable.
- Willingness to travel up to 15 % within Canada.
**Required education & certifications**
- Bachelor’s degree in Accounting, Marketing, Business, or equivalent practical experience.
