Job Description
**Job Title:** Support Services Admin – Seasonal **Role Summary:** Provide administrative support for commercial and residential pest‑control operations, ensuring accurate contract entry, invoicing, and customer account maintenance while delivering high‑quality service to internal teams and external clients. **Expectations:** - Maintain 100 % accuracy in data entry and invoicing. - Complete all monthly invoicing by the last business day. - Respond promptly to internal and external customer inquiries. - Prioritize tasks independently and meet established deadlines. - Uphold professional communication and confidentiality at all times. **Key Responsibilities:** - Enter new contracts, job sales, and product sales into CRM. - Upload, file, and manage contract documentation. - Perform daily and month‑end invoicing, including credit memos and third‑party portal uploads. - Print, sort, and mail invoice runs; ensure timely completion. - Generate custom Excel reports for customers and internal stakeholders. - Verify service ticket accuracy and process credit‑card transactions in CRM. - Assist in resolving customer billing disputes with accounts receivable. - Submit vendor invoices via Coupa and monitor payment processing. - Track uncommitted reports, route completion, and commission data with Branch Managers. - Support sales and operations teams with CRM data retrieval. - Monitor and renew business/technician licenses; assemble customer logbooks. - Perform shipping/receiving duties and other assigned tasks. **Required Skills:** - 2+ years administrative experience in a fast‑paced environment. - Proficiency with Microsoft Word, Excel, PowerPoint; strong Excel reporting ability. - Working knowledge of Google Workspace (Docs, Drive, Gmail, Calendar). - Ability to learn and operate multiple software systems; vendor portal experience a plus. - Excellent proofreading, analytical, and detail‑orientation skills. - Strong multitasking, prioritization, and independent work capabilities. - Effective verbal and written communication; tact and diplomacy in interactions. - Reliable work ethic, punctuality, and professional demeanor. **Required Education & Certifications:** - High school diploma or equivalent (required). - Post‑secondary education or certification in Business Administration, Office Management, or related field (preferred). - Relevant certifications (e.g., Microsoft Office Specialist) optional.
