Job Description
**Job Title:** Project Coordinator, Construction **Role Summary:** Coordinate administrative and financial activities for data center construction projects, ensuring accurate documentation, vendor compliance, invoicing, and lien management. Support project leads with document control, meeting coordination, audits, and close‑out processes. **Expectations:** - Process and verify vendor financial transactions, including lien releases and insurance certificates. - Prepare and track tenant invoices, contractor payments, and owner documentation. - Maintain structured project file systems in project management and accounting platforms. - Facilitate project meetings, agendas, and minutes. - Monitor adherence to operational standards and report issues to project leads. - Assist with internal/external audits and project close‑out documentation. **Key Responsibilities:** - Review, process, and organize vendor financial transactions; confirm lien release compliance. - Assist in tenant invoice preparation, receipt tracking, and payment status reporting. - Generate owner sworn statements, lien waivers, and collect waivers from contractors and vendors. - Maintain and organize project documentation in SharePoint, Teams, Autodesk Construction Cloud, and accounting systems. - Verify insurance certificates, request updates, and manage retention. - Support contract, change order, and site documentation preparation and review. - Arrange staff meetings, prepare agendas, send notices, and record minutes. - Monitor operational standards, flag non‑compliance, and notify project leads. - Participate in internal and external audits. - Prepare and collect project close‑out documentation. **Required Skills:** - Strong written and verbal communication. - Diplomatic collaboration and teamwork. - Flexibility in handling varied tasks. - Proficiency in Microsoft 365 (SharePoint, Teams). - Knowledge of Autodesk Construction Cloud. **Required Education & Certifications:** - Associate’s degree, Technical degree, or equivalent education/experience combination. - Five years of construction project coordination and financial processing experience. - Knowledge of documentation control, vendor commitments, invoicing, and lien processes.
