Job Description
Job title: Customer Care Specialist Role Summary: Manage end‑to‑end order processing for factory, distributed goods, and service orders; serve as liaison to sales, field support, and internal departments; ensure accurate ERP data entry (SAP); coordinate timely deliveries, shipments, invoicing, and payments; support continuous improvement initiatives to enhance customer experience. Expectations: Provide accurate, timely order entry and status communication; maintain high data integrity; uphold confidentiality and compliance; collaborate cross‑functionally; continuously improve processes; resolve issues (short/mis‑shipments, late payments) proactively. Key Responsibilities: • Price, quote, and issue order acknowledgements to customers. • Receive, review, enter, and verify orders in SAP; monitor shipment status and invoicing. • Coordinate product/repair order flow from receipt to delivery and payment. • Schedule and coordinate field service work; issue RMAs, sales orders, and contracts. • Enforce transfer‑pricing policies and export‑control compliance. • Provide order status updates to customers, Account Managers, and Field personnel. • Handle short or mis‑shipments; work with accounting on credits, late or partial payments. • Maintain and update spreadsheets and reports; qualify customer orders. • Cross‑train on all order types; attend cross‑functional meetings and projects. • Drive Lean/Kaizen initiatives; maintain process documentation and visual controls. Required Skills: • 3‑5 years customer‑service experience in manufacturing. • Proficiency in SAP (order entry) and SalesForce/Service Max. • Strong Windows/Microsoft Office, math, and problem‑solving skills. • Excellent oral/written communication; ability to write reports, correspondence, and documentation. • Organizational, prioritization, and time‑management abilities. • Knowledge of transfer pricing, accounting concepts, and domestic/international business practices. • Lean principles experience; basic agency compliance (UL, CSA, CE). • Ability to handle confidential information and monetary transactions with ethical judgment. • Conflict resolution, teamwork, and interpersonal skills; proficiency in French a plus. Required Education & Certifications: • Associate degree in Business or equivalent experience. • SAP certification or proven SAP order‑processing proficiency preferred.
