Job Description
Job Title: Order Processing & Operations Administrator Role Summary: Manage incoming medical cannabis orders, validate customer data, maintain inventory and stock records, and coordinate shipment with third‑party logistics to ensure accurate, timely delivery within regulatory frameworks. Expactations: Deliver high‑accuracy order processing, maintain up‑to‑date customer and inventory databases, comply with Good Distribution Practice standards, and support continuous improvement of operational workflows. Key Responsibilities: - Process and verify all customer orders for completeness and accuracy. - Conduct due diligence checks against regulatory and supplier databases for prescribers, pharmacies, wholesalers, and pharmacists. - Log order, inventory, and customer data into internal systems, ensuring real‑time stock control. - Coordinate with 3PL contract sites for receipt, processing, and dispatch of orders. - Arrange courier services, track deliveries, and obtain proof of delivery vouchers. - Perform weekly stock reconciliations and database reconciliations. - Manage customer onboarding, communication of delivery timelines, and resolution of order issues. - File and maintain order documentation and controlled drug registers. Required Skills: - Strong verbal and written communication. - Exceptional attention to detail and methodical work approach. - Proficiency in Microsoft Office, Google Workspace, and database management. - Experience in customer service, inventory control, and logistics preferred. - Familiarity with pharmaceutical or life sciences environments and Good Distribution Practice (GDP) advantageous. - Ability to work independently and collaboratively in a dynamic setting. Required Education & Certifications: - Minimum of secondary education (A‑Levels, equivalent, or higher). - Any certification in logistics, supply chain management, or pharmaceuticals (e.g., WMS, GDP) is desirable but not mandatory.
