Job Description
Job title Intermediate Project Administrator Role Summary Coordinates project documentation, reporting, and administrative support for capital renewal projects within a national science and research facility program. Expectations Provide accurate and timely documentation, status reporting, and governance support; maintain compliance with program standards; manage multiple project teams and priorities with high precision and professionalism. Key Responsibilities - **Document Control:** Create, maintain, and archive project registers, revision logs, distribution records, correspondence, submittals, and transmittals; ensure compliance with governance requirements. - **Reporting & Coordination:** Compile project status reports, progress summaries, executive reporting packages; manage dashboards, issue and risk logs, and action item trackers. - **Meeting Management:** Schedule project meetings, prepare agendas, record minutes, track actions, and support governance submission preparation. - **Program Support:** Assist project managers, cost specialists, schedulers, and leadership with administrative tasks; onboard new team members; coordinate procurement administration (RFP/RFQ, bid tracking); handle travel, logistics, and resource tracking. Required Skills - 5–10 years of project administration/coordination experience in construction, infrastructure, or capital projects; experience in multi‑project environments. - Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint) and document management/PMIS software. - Strong written and verbal communication, data organization, and information management skills. - Ability to manage competing priorities accurately; proactive, resourceful, and professional integrity. Required Education & Certifications - Bachelor’s degree in Business Administration, Project Management, Construction Management or a closely related field. - Diploma or certificate in project administration or document control is an asset. - Eligible to obtain or currently hold Federal Government Reliability Status security clearance.
