Job Description
Job Title: Executive Assistant and Project Manager Role Summary: Provide high‑level administrative and project management support to a Vice President of Client Partnerships, overseeing full executive search cycles. Coordinate schedules, client and candidate communications, travel logistics, and data tracking while serving as a strategic partner to ensure efficient, solution‑focused recruitment and business development activities. Expactations: * 5+ years as Executive Assistant or comparable role in a corporate or consulting environment. * Proactive, detail‑oriented, and ability to manage overlapping deadlines. * Strong written, verbal, and active listening skills. * Proficient with virtual meeting tools, Microsoft Office suite, and candidate tracking systems. * Creative problem‑solving, sense of urgency, and initiative. * Team‑oriented service mindset with high work ethic. Key Responsibilities: * Schedule and coordinate interviews, client meetings, and the VP’s commitments. * Collaborate with internal search teams to manage timelines and external relationships. * Prepare weekly client updates, charts, and meeting notes. * Anticipate and gather information for strategic support of the VP. * Facilitate offers and negotiations, handling references, terms, and communications. * Develop and maintain organizational systems to track search status and business‑development activities. * Arrange travel for the VP and candidates, handling changes adaptively. * Update applicant tracking system (e.g., Invenias) throughout the process. * Maintain open communication with candidates; flag issues to the consultant or VP. * Keep the team informed on search progress and coordinate business‑development outreach. Required Skills: * Executive-level calendar management and scheduling. * Project coordination and timeline management. * Advanced proficiency in Microsoft Office and virtual meeting platforms. * Strong written and verbal communication. * Active listening and stakeholder engagement. * Organizational system design and data entry. * Negotiation support and reference management. * Ability to adopt new technologies quickly.
