**Job Title** Executive Assistant – Youth Division (Gender Neutral) **Role Summary** Provide comprehensive administrative support to senior directors and editorial teams within the Youth sector. Plan meetings, events, and travel; manage agendas; produce written communications; handle editorial operations; oversee budgeting, procurement, expense reports, and incoming interns; serve as liaison between internal and external stakeholders. **Expectations** - Maintain strict confidentiality and uphold professional standards. - Demonstrate proactive initiative and strong problem‑solving skills. - Operate independently while collaborating across functions. - Exhibit excellent written and spoken English communication skills. - Show genuine interest in publishing and youth content. **Key Responsibilities** - Prepare agendas, compile dossiers, and coordinate logistics for meetings, seminars, and events. - Manage dynamic calendars, schedule travel arrangements, and handle telephone screening. - Draft letters, presentations, minutes, and other corporate documentation. - Facilitate editorial tasks: receive manuscripts, answer author inquiries, process royalty payments, ship titles. - Track budgets, process purchase orders, and reimburse travel and other expenses. - Coordinate intern onboarding: agreements, orientations, and scheduling in partnership with HR. - Act as primary interface between staff, external partners, and senior management. **Required Skills** - Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint). - Strong organizational and time‑management abilities. - Attention to detail, reliability, and autonomy. - Effective interpersonal and communication skills. - Ability to multitask and prioritize in a fast‑paced environment. **Required Education & Certifications** - Minimum post‑secondary (Bac+2 or equivalent). - Relevant license or certification not mandatory but a plus.
