**Job Title**
Executive Assistant (Group Vice President, Commercial Sales)
**Role Summary**
Provide high‑level executive support to the GVP of Commercial Sales, managing calendars, meetings, travel, and administrative tasks to ensure seamless operation of the sales organization and enhance team productivity.
**Expectations**
- Highly organized, proactive, and detail‑oriented.
- Ability to handle multiple priorities and switch swiftly between tasks.
- Maintain strict confidentiality and professional discretion.
- Work in PST time zone, coordinating with Eastern‑time executives as needed.
- Exhibit strong communication, teamwork, and a can‑do attitude.
**Key Responsibilities**
- Manage executives’ calendars, schedule internal/external meetings, resolve conflicts, and gatekeep strategic time.
- Attend meetings, take minutes, and follow up on action items.
- Prepare presentation materials (primarily Google Slides) for all internal and external engagements.
- Coordinate domestic and international travel arrangements.
- Handle expense reporting, create and manage purchase orders, and process departmental purchasing card usage.
- Plan and execute logistics for all‑hands, off‑site or virtual meetings, and team‑building events.
- Maintain and update team alias distribution lists, Slack channels, and shared folders.
- Oversee onboarding schedule for new senior leaders.
- Perform additional administrative projects and serve as backup to other Executive Assistants as needed.
**Required Skills**
- Calendar and scheduling mastery, including complex gatekeeping.
- Proficiency with Google Workspace, Microsoft Office, Zoom, Slack, Concur, and NetSuite.
- Strong written and verbal communication, excellent note‑taking, and presentation skills.
- Ability to manage multiple executives with varying styles and priorities.
- High level of integrity, discretion, and confidentiality.
- Strong organizational, multitasking, and problem‑solving abilities.
- Agile, flexible, and able to adapt quickly to changing priorities.
**Required Education & Certifications**
- Minimum 4+ years of relevant executive‑assistant experience, ideally in a start‑up or rapidly‑growing company.
- Practical familiarity with travel booking, expense systems, and purchase order processing.
- Bachelor’s degree preferred (not explicitly required).
