Cast Coordinator (Fixed Term)
**Role Summary**
Provide end‑to‑end administrative and operational support for performers in a live‑action theatrical production environment. Coordinate travel, accommodation, safety training, and communication to ensure seamless execution of productions, while maintaining accurate records and upholding safety and compliance standards.
**Expectations**
- Minimum 3 years in a similar role (performer coordination, administration, events management).
- Strong multitasking and problem‑solving under tight deadlines.
- Flexibility to work irregular hours, weekends, and extended days during peak periods.
- Ability to interpret and apply travel, visa, and safety regulations.
- Confidential and professional handling of performer and company information.
**Key Responsibilities**
- Arrange and monitor performer arrivals, departures, housing, and local ground transportation.
- Manage travel documentation (visas, passports, border clearances) and coordinate travel for non‑US cast, including crew letters.
- Maintain performer photo library and disseminate imagery to creative teams.
- Support pay processing, injury reporting, and safety training compliance (Traditions, facility safety, HR courses).
- Handle procurement and update of facility access (swipe keys, access cards).
- Create and lead welcome meetings and ongoing briefings for new cast members.
- Build and manage WhatsApp communication channel for immediate cast advisories.
- Oversee cost‑efficient travel arrangements (IRGS booking, troubleshooting).
- Monitor email and internal updates; flag critical information to production, creative, shipboard, and technical teams.
- Maintain accurate housing and travel records (IRGS blocks, BGA requirements).
- Execute continuous improvement initiatives (SMART systems, procedural efficiencies).
- Support Safety Management System activities within assigned areas.
- Conduct special projects and ad‑hoc assignments as directed.
**Required Skills**
- Excellent written and verbal communication.
- Strong organizational and administrative capabilities.
- Advanced computer literacy: PowerPoint, Excel, Smartsheet, Microsoft Office; SAP experience a plus.
- Proficiency in scheduling, record‑keeping, and data entry.
- Ability to troubleshoot travel issues and manage competing priorities under pressure.
- Knowledge of information flow impact and confidentiality standards.
- Effective teamwork and collaboration with cross‑functional stakeholders.
**Required Education & Certifications**
- Post‑secondary education (BA/BS or equivalent) in Administration, Events Management, Arts Management, or related field.
- Understanding of performing arts or cruise‑industry operations considered an asset.
- Safety training certification (e.g., OSHA, EHS) is advantageous.
