Job Description
**Job Title** Events Coordinator **Role Summary** Coordinate and deliver high‑standard events and customer engagement activities for a luxury retail environment. Work across teams and external partners to plan, budget, execute and evaluate events, ensuring excellence in service and communication while maintaining health, safety, security and GDPR compliance. **Expectations** - Deliver event outcomes on time, within budget and to agreed quality metrics. - Maintain clear, consistent communication with all stakeholders throughout the event cycle. - Proactively identify risks, propose solutions and secure conformance to all regulatory and internal standards. - Foster strong vendor relationships and secure high‑value contracts. - Continuously improve event processes and share learnings with the wider events community. **Key Responsibilities** - Support the Event Manager in curating, developing and executing strategic communications, events and experiences for elite customers. - Track and document all event metrics (RSVPs, attendance, sales, feedback) and prepare post‑event reports. - Manage event costing, PO creation, invoicing and budget reconciliation. - Produce project packs, briefing documents, agendas, timelines and critical‑path schedules. - Build and maintain a robust network of internal and external partners, suppliers and stakeholders. - Coordinate regular meetings between VIP, Personal Shopping and other relevant departments. - Negotiate vendor contracts in conjunction with the legal team; manage agreements and service levels. - Provide research, material preparation and presentation support for projects. - Ensure all events meet Health & Safety, Security, GDPR and data‑security standards. - Brief graphics and creative teams on collateral requirements. - Execute events on delivery days, managing physical sets, staffing and production. - Serve as client liaison throughout the project lifecycle. - Assist in planning and delivering franchise events. **Required Skills** - Proven experience in event planning, production and communications, preferably within luxury retail. - Excellent written and oral communication, presentation and stakeholder‑management skills. - Strong planning, organisational and time‑management ability in a fast‑paced environment. - Competent in budget development, cost control and financial reporting. - Vendor negotiation expertise and contractual knowledge. - Ability to adhere to health & safety, security, GDPR and data‑security requirements. - Ability to network, collaborate across diverse functions and influence at all levels. - Creative problem‑solving, adaptability and resilience under pressure. **Required Education & Certifications** - Tertiary qualification in Event Management, Hospitality, Business Administration or related field. - Professional event‑management certification (e.g., CME, CPM, or equivalent) preferred.
