Position Description

We are looking for an accomplished and polished Executive Assistant to provide critical administrative and operational support to Vice-Presidents and senior leadership within the Business Unit. This is a high-impact role ideal for someone who brings sound judgment, professionalism, and a proactive mindset to their work. The successful candidate will be experienced in managing shifting priorities in a dynamic environment, comfortable interacting with senior stakeholders and clients, and skilled at anticipating needs to help leaders stay focused and organized. Strong communication, a collaborative spirit, and the ability to build trusted relationships are key to succeeding in this role.

Your future duties and responsibilities

Executive Support

Serve as the primary liaison between executives and internal/external stakeholders, including clients, media, and the public - always maintaining professional and diplomatic communication.
Provide confidential administrative support to senior leaders in the business unit, ensuring seamless coordination across internal and external engagements.
Manage complex and dynamic calendars, proactively scheduling and adjusting internal meetings, external events, and priority activities.
Coordinate and book travel arrangements and accommodations, ensuring all logistics are handled in compliance with company policies.
Monitor, triage, and respond to incoming communications, requests, and invitations with discretion, ensuring appropriate prioritization and timely follow-up.
Prepare high-quality executive documentation such as memos, presentations, reports, and correspondence, ensuring accuracy and alignment with organizational standards.
Maintain administrative procedures, including business mail, expense reports, travel documentation, authorizations, and approvals in line with corporate policies.
Accurately prepare and process financial documentation, including purchase orders and expense reports, in a timely manner.
Be available to travel locally within the GTA (for Markham-based role) to support client meetings, site visits, and in-person events as needed.

Leadership & Team Enablement

Support the organization of leadership offsites, client events, CSR initiatives, and other high-impact activities
Assist with the preparation of multi-media presentation material, collateral and theme strategies using MS PowerPoint, MS Word and MS Excel
Liaise with vendors, partners, and clients professionally and confidently on behalf of senior executives
Participate in special project assignments on an as-required basis
Maintain high standards of professionalism and confidentiality in all interactions

Project & Event Coordination

Assist in preparing multimedia presentations, briefing materials, and strategic documentation
Contribute to planning and execution of executive team meetings, business reviews, and stakeholder engagements
Track deadlines, deliverables, and milestones across multiple concurrent initiatives

Required Qualifications To Be Successful In This Role

Minimum 5 years senior executive-level administrative support experience in a large professional organization
Proven ability to work in a dynamic environment, adapt quickly, and handle shifting priorities with composure
Superior written and verbal communication skills; French proficiency is a strong asset
High degree of tact and sound judgment
Resourceful with a strong sense of ownership, reliability, and commitment to quality
Strong interpersonal presence with the ability to represent executives both internally and externally

Technical Skills

Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Experience with calendar and travel management, presentation development, and event planning
Familiarity with SharePoint and corporate tools such as eProcurement and CRM systems is an asset
