Job Specifications

We are looking for a highly organized and detail-oriented Sales Support Specialist – Events professional to join our team and to assist our sales team in achieving their goals. In this role, you will provide administrative and operational support to ensure smooth and efficient sales processes. You will be responsible for supporting in managing customer accounts, processing orders, handling documentation, and coordinating between sales and finance departments.

You will support the Events director in driving event bookings, client satisfaction, handling administrative tasks, managing client communication, and ensuring every event is executed successfully from a sales support perspective.

Key Responsibilities

Assist the Events Director with proposals, quotes, contracts, and client communication for event bookings
Maintain accurate records of event leads, bookings, and client information in the CRM system.
Process and manage customer orders, ensuring accuracy and timely delivery
Assist in managing contracts and ensuring all sales documentation is completed accurately
Coordinate with internal teams to ensure all client requirements are met
Respond to client inquiries about event services, pricing, availability, and customization options
Track sales performance and prepare regular sales reports and dashboards
Monitor and update sales materials and event collateral (brochures, booking forms)
Monitor invoicing and payment status and coordinate with the sales team
Support, when required by the finance team, in finalizing customers’ payments before the events
Help coordinate on-site logistics as needed during major events

Qualifications

Bachelor’s degree in Business, Marketing, Event Management, or related field preferred
1–3 years of experience in sales support, event sales coordination, or administrative and customer service
Strong organizational, multitasking, and time-management skills
Fluent in English, excellent written and verbal communication skills
Proficient in Microsoft Office (especially Excel, Word, Ppt, Outlook); CRM experience (e.g., Salesforce, HubSpot)
Ability to multitask and stay calm under pressure in a fast-paced, deadline-driven environment
Flexible schedule, with occasional availability for early mornings/evenings/weekends during event periods
Attention to detail and commitment to providing outstanding customer service
Familiarity with event management software (e.g. IDloom, Monday, etc)
Ability to work independently and collaboratively in a fast-paced environment
