About the job
This is a chance to make a real impact on an industry-leading business that works with globally recognised brands. You’ll provide proactive, hands-on support to two Co-Founders and play a key operational role.
Key responsibilities:
Provide a high level of administrative and secretarial support to the Co-Founders on a day-to-day basis.
Extensive online diary management (including some personal tasks). You’ll ensure that key information is communicated in good time for preparation purposes and ensure Co-Founders are fully briefed on all meetings.
Setting up internal and external meetings, lunches and Zoom calls, including booking restaurants, meeting rooms, and arranging refreshments.
Arranging domestic/international travel and accommodation (ensuring all related documentation is in place) for the Co-Founders, and the wider team where needed.
Assist with company-wide marketing events, including dinners, conferences and networking events during usual office hours and occasional evenings.
Organisation of annual Summer ‘Away Day’, Christmas party and quarterly socials
Support the finance team with various administrative tasks, e.g. team travel booking, expense claims, overseeing office supplies & ad hoc purchasing
Play a key role, partnering with the CFO on the upcoming office move – relocating from a SW London office to the new office location in Central London.
General PA duties including accurate message taking, monitoring emails, opening post, file management, typing correspondence, dictation, minute taking and any other administrative duties as they arise.
About you
The ideal candidate:
Has previous Personal Assistant/Executive Assistant experience is essential, ideally with a communications agency.
Is enthusiastic with a ‘can do’ attitude, willingness to learn and expand knowledge and skills within the role, approachability, flexibility, and a practical/common sense approach.
Has advanced knowledge of Outlook with intermediate knowledge Word, Excel and Google sheets/docs.
Has a high attention to detail with exceptional organisational skills and the ability to prioritise workload.
Has the ability to multitask, adapt and anticipate business needs and stay calm in often demanding situations
Has commercial initiative and judgement, making decisions where appropriate.
Is confident, willing and highly approachable.
Has a professional approach, polished presentation and excellent telephone manner.
