Our client is rolling out an employed solution in the US and requires a specialist to manage the daily operations and optimize their processes as they scale. The initial workflows and been defined, but need an experienced operator to execute them efficiently and refine them over time.

You will be responsible for the end-to-end management of the W2 workforce, ensuring compliance, accuracy, and reliability in everything from onboarding to offboarding. This role is critical to establishing a stable and scalable US footprint.

Responsibilities:

Operationalize the US Function: Take the existing process maps and turn them into a functioning reality, managing the end-to-end lifecycle for W2 contractors from onboarding to offboarding.
Refine & Polish Processes: Analyze the current operating procedures, identify inefficiencies, and iterate on them to create a scalable playbook.
Master the Administration: Embrace the rigorous nature of the role. You will personally ensure 100% accuracy in payroll data entry, documentation, and compliance filings, understanding that administrative precision is the best defense against risk.
Serve as the US Subject Matter Expert: Partner closely with Compliance, Delivery, and Account Management teams, acting as the operational authority on US HR nuances to ensure client solutions are practical, compliant, and commercially viable.
Manage Sensitive Employee Relations: Own the difficult conversations. You will handle complex employee relations issues, with a specific focus on managing terminations, offboarding, and performance exits professionally and compliantly.
Navigate Multi-State Complexity: Ensure daily operations align with the specific nuances of employment law across different states (e.g., overtime calculations, break times, state-specific leave), ensuring we remain audit-ready at all times.
Execute Benefits Administration: Serve as the primary point of contact for W2 workers regarding their benefits. You will run the open enrollment process and handle day-to-day administration (401k, Medical, Dental) while the Hiring Manager handles the broker strategy.
Drive Product Evolution: Act as the internal customer for in-house tech solution. You will use the platform daily, identify friction points, and provide high-quality feedback to the Product & Engineering teams to shape future features.

Ideal candidate specification

Deep US Payroll & Admin Fluency: You have extensive experience managing W2 workers in a contingent or staffing agency environment (MSP experience is a plus) and know the administrative load required to keep it running.
Process Optimization Mindset: You are skilled at taking an existing process, executing it, and finding practical ways to make it more efficient.
Operational Grit: You are willing to own the logistics without an admin support team. You take pride in clean data and 100% compliance accuracy.
Heavy Employee Relations Experience: You have deep experience managing terminations and involuntary exits, ensuring the company is protected.
Process Architect: You have a track record of documenting processes (Standard Operating Procedures) and refining playbooks that allow a function to scale.
East Coast Alignment: While not strictly mandatory, you are ideally based in an East Coast time zone to facilitate smoother collaboration with UK-based leadership.
Product-Minded Intuition: You don't just use software; you analyze it. You can articulate why a workflow is broken and translate that into clear suggestions for a technical team.
