Deep Trekker Inc., a global leader in subsea robotics and a member of the Halma plc group of companies, is seeking a People Operations Assistant (1-Year Contract) to provide hands-on support for the day-to-day administrative functions of the People & Culture team. This role is designed to manage high-volume HR administrative tasks, allowing our People & Culture team to focus on strategic initiatives and people programs.

Working closely with the People & Culture Specialist, you will be the day-to-day operational support across HR functions, ensuring smooth execution of HR processes and maintaining accurate records.

Key Responsibilities

Recruitment Administration

Post job openings and manage job boards
Coordinate interviews and scheduling with candidates and hiring managers
Maintain candidate records and update statuses in Workday
Support offer logistics and recruitment documentation

HR Systems & Data Support

Enter and maintain employee information in Workday
Maintain accurate payroll records, including timesheets, attendance, and payroll reports
Support data clean-up, corrections, and routine audits
Assist with onboarding setup and system access

Documentation & Compliance Support

Prepare standard HR documents using approved templates
Support documentation for immigration, investigations, terminations, and other employee lifecycle events
Maintain accurate and confidential employee files
Assist with year-end payroll processes, including T4 preparation and tax reporting

General HR Administrative Support

Manage incoming HR requests and route them appropriately
Assist with cyclical HR processes such as performance reviews, training enrollment, and other recurring tasks

How the Role May Evolve

As you become fully onboarded and comfortable with our systems and processes, the role may gradually expand to include:

Recruitment coordination and maintaining candidate pipelines
Supporting employer branding initiatives
Assisting with basic reporting and HR process documentation
Working with the Operations department to support facilities and provide general operations assistance

Any scope expansion will be gradual and guided by business needs and direction from the People & Culture Specialist.

Qualifications & Skills

Education & Experience

Bachelor’s degree in Human Resources, Business Administration, or a related field, or equivalent work experience
New graduates are welcome
0–2 years of experience in HR administration, HR operations, or payroll support is a plus but not required
Experience with HRIS systems (e.g., Workday) and payroll systems is an asset
Familiarity with Canadian employment legislation and HR compliance practices is an asset

Technical & Operational Skills

Comfortable supporting high-volume administrative tasks and coordinating multiple processes
Proficiency with Microsoft Office Suite (Word, Excel, Outlook)
Comfortable managing HR data, records, and reporting
Ability to maintain accurate and confidential employee information

Interpersonal & Communication Skills

Strong organizational and time management skills
Attention to detail and accuracy
Ability to work collaboratively with HR, Operations, Finance, and other teams
Strong written and verbal communication skills
Professional and approachable demeanour
