Job Overview – Vendor Maintenance Coordinator – 33816
The Vendor Maintenance Coordinator is responsible for the accurate setup, maintenance, and updating of vendor records within the company’s accounting system. This role ensures compliance with company policies, tax regulations, and payment terms while serving as a key point of contact for vendor information management. The Vendor Maintenance Coordinator works closely with accounts payable, procurement, and compliance teams to ensure that vendor data is accurate, secure, and up to date.
Set up new vendors in the accounting/ERP system after verifying and validating required documentation (e.g., W-9s, tax IDs, banking details).
Maintain and update vendor records, including address changes, banking information, payment terms, and contact details.
Verify vendor information for accuracy and completeness to ensure compliance with tax laws and internal controls.
Monitor and maintain vendor master data to prevent duplication and ensure consistency.
Respond to vendor inquiries regarding setup, updates, and status of information.
Coordinate with procurement, accounts payable, and compliance teams to resolve vendor-related issues.
Perform regular audits of vendor master data to identify and correct inaccuracies.
Assist with year-end reporting requirements such as 1099 forms.
Maintain confidentiality and protect sensitive vendor information in compliance with company policies and data security standards.
Support internal and external audits by providing vendor documentation and reports as requested.
Requirements
High school diploma or equivalent required; associate degree in accounting, finance, or business administration preferred.
2+ years of experience in accounts payable, vendor maintenance, or a related administrative role.
Proficiency in Microsoft Office Suite, particularly Excel; experience with ERP systems such as SAP, NetSuite, Oracle, or Microsoft Dynamics 365 preferred.
