About The Role

As the HR & Finance Coordinator, you will play an essential role in supporting Novutech's growth by coordinating core HR processes, finance operations, and administrative support across multiple countries. You will serve as the go-to person for HR and finance operational matters, ensuring compliance, accuracy, and efficiency while contributing to a supportive and international workplace environment.

This is a fixed-term contract with an ideal start date in early March 2026 through the end of October 2026. You will report directly to the Senior HR Business Partner, working closely with internal teams and external partners to ensure smooth operations and reliable financial and HR processes.

HR Administration & Operations (50-70%)

Execute and monitor HR processes across countries including contracts, onboarding/offboarding, and payroll coordination.
Ensure compliance with local labor laws (Belgium, France, NL, Germany, and other countries of expansion) by coordinating with external payroll and legal advisors.
Maintain accurate employee records and documentation, ensuring HR activities comply with legal standards.
Monitor and coordinate compensation & benefits processes to ensure accuracy and competitiveness.
Execute the onboarding process for new hires, ensuring a smooth transition by preparing necessary materials and handling administrative formalities. Act as the main point of contact to facilitate a welcoming employee experience.
Coordinate mobility programs including fleet management and employee mobility needs.
Support recruitment activities (a few hires per year), including job posting, CV screening, and initial HR interviews.
Act as the owner of HRIS tools, ensuring accurate data, reporting, and process automation.

Support the execution of HR-related projects (soft HR, hard HR, and operations) in collaboration with the HR Business Partner.

Finance & Accounting Support (20-40%)

Execute day-to-day accounting tasks including booking invoices, expenses, and payments using NetSuite and tools like Payhawk, Embat, Invopop and Zone & Co.
Support monthly closings, reconciliations, and invoicing processes to meet reporting deadlines.
Monitor employee expenses and travel budgets, proposing and implementing cost-control improvements.
Support administrative setup in new countries and ensure financial compliance.
Contribute to statutory audit preparation and respond to external auditors' requests.

Office Management & Administration (10%)

Coordinate office infrastructure, coworking spaces, energy contracts, and suppliers.
Monitor IT licenses, equipment tracking, and renewals.
Maintain the database of company contracts (suppliers, insurance, offices, SaaS tools).
Act as point of contact for insurance-related matters (work accident, fleet, office liability, etc.).
Coordinate internal events such as company offsites.
Maintain and optimize office documentation and processes

Job requirements

Degree in Business Administration, HR, Finance, Office Management, or related field.
Recent graduate with relevant internship experience in HR, OR 1-3 years of professional experience in HR administration, finance support, office management, or related roles.
Excellent organizational and interpersonal skills, with absolute discretion in handling sensitive HR and finance data.
Fluent in English and French.
Comfortable with technology tools including Google Workspace and Excel; experience with NetSuite or similar ERP systems is a plus.
Solution-oriented and "working smart" mindset, with the ability to get things done quickly and efficiently.
Strong ownership mindset and ability to work independently with minimal supervision.
Energetic, proactive, and creative team player with strong intercultural communication skills.
