Job title: Office Manager Role Summary: Coordinate daily office operations for a law firm, providing senior staff and clients with seamless administrative support, managing documentation, client communications, diary coordination, and billing assistance. Expactations: - Deliver efficient, high‑quality operational support across all legal functions. - Maintain a professional, organised, and client‑centric office environment. - Proactively improve processes to enhance service quality and internal efficiency. Key Responsibilities: - Oversee day‑to‑day office management, ensuring cleanliness, safety and professional appearance. - Provide proactive PA duties to fee‑earners: diary management, meeting prep, follow‑up, and correspondence handling. - Triage all incoming client communications, route queries, and ensure timely responses. - Manage billing administration and liaison with accounts, ensuring accurate invoicing and revenue tracking. - Coordinate document management, filing, and case‑tracking within the firm’s systems. - Liaise with clients, suppliers, and professional partners, upholding a compassionate, professional culture. - Identify and implement process improvements to enhance operational efficiency. Required Skills: - Prior experience in office management, legal administration, or senior PA roles, preferably in professional services. - Strong organisational and multitasking abilities with meticulous attention to detail. - Excellent spoken and written communication skills with a client‑focused mindset. - Proactive, solution‑oriented attitude with a genuine care for people and service quality. - Ability to handle multiple priorities calmly and efficiently. Required Education & Certifications: - Minimum of a high‑school diploma or equivalent. - Legal office administration or business management certification preferred but not mandatory.
