Job Description
**Job Title:** Executive Assistant – Investor Relations Team (Maternity Cover) **Role Summary:** Provide high‑level administrative support to the Investor Relations (IR) team of a private equity firm. Manage diary and calendar coordination across multiple time zones, arrange and support international travel and visas, prepare meeting materials, maintain CRM records, process expenses, and assist with internal and external events to ensure seamless day‑to‑day operations. **Expectations:** - 2–3 years of executive‑assistant or senior administrative experience, ideally within private equity or financial services. - Demonstrated ability to handle complex schedules, multiple stakeholders, and international logistics. - Highly organized, meticulous, discreet, and approachable with strong communication skills. - Comfortable in a hybrid (remote / in‑office) work setting and capable of completing a maternity cover assignment starting Summer 2026. **Key Responsibilities:** 1. **Calendar & Meeting Management** – Coordinate complex diaries, booking meetings across time zones, and handling last‑minute changes. 2. **Travel Coordination** – Arrange international travel, including flights, accommodation, ground transport, and visa documentation. 3. **Stakeholder Communications** – Draft, edit, and distribute correspondence to internal stakeholders and external partners. 4. **Meeting Preparation** – Compile agendas, background documents, presentation materials and update CRM systems (DealCloud preferred). 5. **Expense Management** – Process travel & client event expenses, ensuring compliance with company policies. 6. **Event Support** – Assist in planning, logistics, and execution of client and internal events. 7. **CRM Maintenance** – Keep DealCloud or equivalent system current with accurate contact and activity data. **Required Skills:** - Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). - Excellent calendar and time‑management skills. - Strong written and verbal communication. - Attention to detail and ability to maintain confidentiality. - Proficiency with CRM platforms (DealCloud a plus). - Experience in event coordination and stakeholder engagement. - Ability to work independently and collaborate across teams. **Required Education & Certifications:** - Bachelor’s degree preferred (exact field not required). - No specific certifications mandated; industry‑relevant courses (e.g., Excel, Project Management) are advantageous.
