**Job Title:** Front Desk Administrator **Role Summary:** Serve as the primary point of contact for clients in a high‑volume mental health clinic, providing a calm, welcoming experience. Manage front‑desk operations, client appointments, electronic correspondence, phone lines, and administrative support to clinicians and executive staff across multiple sites. **Expectations:** - Full‑time, 1‑year fixed‑term contract (eligible for renewal). - Alternating weekly shift patterns (Mon‑Thu 08:00‑16:00 & Sat 09:00‑18:00; Mon‑Fri 13:00‑21:00). - Ability to commute reliably to all clinic locations. - Obtain a UK DBS check before employment. - Right to work in the UK; no sponsorship. **Key Responsibilities:** - Welcome clients, confirm appointments, and liaise with clinicians to ensure smooth client journeys. - Manage shared administrative email inboxes, respond to enquiries, and escalante issues. - Operate phone lines: answer calls, resolve queries, and route appropriately. - Provide administrative support to Executive Assistants, Clinical Triage Team, and clinicians (document formatting, correspondence, data entry, time‑sensitive tasks). - Coordinate clinic CPD events, socials, and other internal events. - Maintain office supplies, monitor stock, identify issues, and liaise with vendors to keep clinics running smoothly. - Support internal systems and processes to enhance day‑to‑day clinic operations. **Required Skills:** - Minimum 1 year of administrative experience (2+ years preferred). - Prior experience in a healthcare or private sector setting. - Strong understanding of data protection (GDPR, Caldicott Principles, Data Protection Act). - High attention to detail and accurate data entry. - Professional, cooperative attitude towards clients and colleagues. - Ability to remain calm under pressure and manage multiple priorities simultaneously. - Computer literacy: proficiency with electronic health record systems, MS Office, email, and scheduling tools. **Required Education & Certifications:** - Right to work in the UK (no sponsorship). - Successful DBS check required. - No specific degree or professional certification required, though familiarity with healthcare administrative practices is advantageous.
