Job Title: Executive Assistant – Marketing
Role Summary:
Provide executive‑level administrative support to the Marketing Leadership Team in a fast‑paced, high‑performance engineering environment. Manage calendars, meetings, communications, travel, events, and project coordination to enable leaders to focus on strategic initiatives and brand elevation.

Key Responsibilities:
1. Calendar & Meeting Management – coordinate, schedule, and optimize leadership calendars; prepare agendas, capture minutes, and follow up on action items.
2. Communication & Information Flow – act as primary gateway, manage inboxes, draft reports and presentations, and ensure clear, timely messaging across teams.
3. Travel & Event Coordination – orchestrate complex itineraries, arrange logistics, and support execution of marketing events, off‑sites, and hospitality moments.
4. Project Support & Insight – partner on special projects, conduct research, generate data insights, create presentations, and track milestones.
5. Team & Operational Support – link leadership with wider Marketing department, assist with budget tracking, expense coordination, and financial overviews.
6. Stakeholder & Relationship Management – build trusted relationships with internal teams, external partners, and senior stakeholders to enable cross‑departmental alignment.
7. Administrative Excellence – manage sensitive documentation, expense reports, timesheets, purchase orders, and invoicing with precision.
Required Skills:
- At least 2 years as an Executive Assistant to senior/C‑suite leaders.
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams).
- Outstanding written and verbal communication with meticulous attention to detail.
- Superior organizational, planning, and prioritization abilities.
- Anticipatory thinking, critical problem‑solving, and obstacle removal.
- Confidentiality, integrity, and professional judgment.
- Strong interpersonal skills capable of building relationships across levels and functions.
- Adaptability, resilience, and self‑direction in a demanding environment.
Required Education & Certifications:
- Bachelor’s degree in Business Administration, Marketing, Communications, or related field preferred.
