Position Summary 

We are seeking a Production Coordinator to support the planning, coordination and delivery of short-form content across digital formats. 

 

The role supports activity across the production lifecycle from preparation and planning, through on-set production, and into post-production delivery with a focus on organisation, communication, technical understanding, and production discipline. 

 

The Production Coordinator works closely with internal teams, clients, contributors and production specialists to ensure content is delivered on time, to the expected quality and within agreed parameters. 

Key Responsibilities 

Production Planning & Preparation 

Coordinate short-form content production across informational, instructional and marketing-led outputs. 
Support planning activities including: Production schedules and timelines | Content outlines, scripts or structured briefs | Contributor preparation and briefings 
Coordinate practical production requirements such as locations, sets, props, contributors, and equipment needs. 
Prepare and maintain required production documentation, including risk assessments, consent and release forms, and production checklists. 
Ensure production requirements, approvals, and readiness are clear and aligned prior to filming or recording. 

On-Set Production Coordination 

Attend productions to support: Set preparation and build, as required | Technical readiness (camera, lighting, audio, environments) | Effective use of time during production 
Support basic on-set health, safety, and duty-of-care requirements, escalating issues where necessary. 
Work alongside technical and creative specialists, using production knowledge to anticipate issues and support resolution. 
Act as a central coordination point between contributors, crew, and client during production. 

 

Client & Stakeholder Communication 

Maintain clear, professional communication with clients throughout production. 
Coordinate communication and approvals with internal stakeholders, ensuring content meets quality and editorial expectations before client review. 
Track actions, approvals, and decisions to maintain momentum. 
Communicate changes, dependencies, or risks clearly and promptly. 

 

Post-Production Coordination 

Support the transition into post-production, including: 
Edit handovers and context 
Review and feedback cycles 
Tracking revisions through to approval
Coordinate internal and external review stages to ensure quality standards are met before delivery. 
Apply working knowledge of editing and post-production workflows to support efficient delivery and quality outcomes. 

Production Operations & Standards 

Run production workflows end to end, ensuring tasks are completed in the correct sequence and on schedule. 
Monitor progress against timelines, quality expectations, and agreed budgets, flagging risks or issues early. 
Maintain production documentation, asset tracking, and status updates. 
Support consistent production standards across content outputs. 
Contribute to the ongoing improvement of production workflows and tools, including the responsible use of AI-assisted production capabilities. 

Skills & Attributes:

Essential 

Experience working in content or media production environments. 
Practical understanding of production workflows, including on-set and post-production stages. 
Technical knowledge of cameras, lighting, audio, and production environments. 
Experience coordinating multiple production activities and deadlines concurrently. 
Strong organisational skills and attention to detail. 
Confident communication skills with both internal stakeholders and external contributors or clients. 
Ability to manage production flow, anticipate issues, and keep delivery on track. 

 

Desirable 

Background as a content creator or production professional. 
Experience supporting short-form, digital-first content. 
Familiarity with education-sector or education-adjacent organisations. 
Interest in modern production workflo
