The Role

Moss Consulting is seeking an Operations Assistant / Operations Coordinator to support the continued build-out, documentation, and optimization of our internal systems, workflows, and marketing operations.

This role works directly with leadership, our HubSpot integrator, and our internal team to document processes, train users, improve systems, and support the flow of information across a rapidly growing organization.

Key Responsibilities

Operations, Systems & CRM

Assist with completing and refining our HubSpot build-out, including workflows, automations, pipelines, and integrations
Work closely with our HubSpot integrator, leadership, and internal users to identify gaps and improvement opportunities
Document operational processes and systems in a clear, usable format
Support leadership with ongoing HubSpot development and optimization
Build, improve, and maintain inter-platform integrations and workflows

Marketing Operations & Lead Generation

Support online lead generation initiatives and CRM processes
Assist with online marketing operations, including blogs, SEO, and content workflows
Help manage and improve marketing systems across platforms
Support ongoing optimization of how marketing, CRM, and operations connect

Process Documentation, Training & Policy

Assist with writing and maintaining internal policies and operational documentation
Communicate new or updated processes to the team
Train team members on systems, workflows, and tools
Support onboarding and ongoing internal training

Technology & Platform Support

Support operations across HubSpot, Microsoft 365 (Teams, SharePoint, Outlook), Slack, and other communication platforms
Assist with Microsoft Teams development and integration into company workflows
Support website development and management in coordination with leadership and vendors
Assist with automation, AI tools, and workflow implementation
Provide general technology and systems support to a growing internal team

Location & Schedule

Preference for Austin-based candidates able to work part-time from our Southeast Austin home office
Location flexibility for the right candidate
Availability during business hours at least three days per week
Approx. 30 hours per week, with flexibility to adjust based on company needs
Some in-person workdays and occasional travel required

Engagement & Compensation

1099 contract for the first 90 days, with conversion to hourly W2 if performance expectations are met
Pay based on experience
Regular raises based on contribution and impact
Pre-approved on-the-job training provided when needed
Mileage reimbursement and per diem provided for approved travel

Qualifications

Strong organizational and systems-thinking skills
Experience with HubSpot or similar CRM/operations platforms strongly preferred
Familiarity with online marketing, lead generation, SEO, and content workflows
Comfortable documenting processes and training others
Strong written and verbal communication skills
Self-directed, detail-oriented, and comfortable improving unfinished systems
Ability to work closely with leadership in a fast-moving environment

Sales and sales pipeline management experience
Graphic design experience
Video production or editing experience
Photography experience
Social media or podcast support experience
Experience with AI tools, automation, or workflow optimization
