About the Role
Reporting to the Senior Manager, Technology Strategic Initiatives, the Coordinator will be a member of the Data Analytics and Integrations (DAI) team. The Coordinator will be responsible for ensuring the delivery of professional, customer-focused support and service in line with the agreed service scope, service levels and change management practices.
Key Responsibilities
Project Tracking and Status Management
Maintain clear visibility into all ongoing projects by implementing robust tracking mechanisms. Regularly monitor progress against milestones, identify risks or delays early, and ensure accurate reporting of project statuses to stakeholders.
Driving Project Execution
Actively push projects forward by coordinating resources, resolving blockers, and ensuring alignment with strategic objectives. Foster accountability across teams to meet deadlines and deliverables.
Cross-Functional Collaboration
Work closely with internal and external stakeholders to ensure smooth communication and timely decision-making that accelerates project progress.
Continuous Improvement
Recommend and implement process enhancements to improve efficiency in project tracking and execution.
Incident Management
Act as Incident Manager for all critical supported application incidents within the DAI team.
IT Service Coordination
Interface with managers in other IT areas to ensure seamless support across the complete service offering for business applications.
Standard Operating Procedures
Participate in developing and maintaining standard support procedures and documentation to ensure availability and continuity of supported application services.
Stakeholder Communication
Prepare materials and documentation for stakeholder status meetings.
Small Project Management
Ensure effective management of small projects and initiatives.
Release Deployment
Plan, organize, and execute activities related to the deployment of IT releases.
Negotiation and Prioritization
Negotiate deliverables and priorities with key stakeholders.
Compliance
Ensure adherence to SOX standards and policies and participate in compliance reviews for SOX and internal audits.
On-Call Support
Provide periodic 24/7 on-call support operations and after-hours coverage.
Team Development
Provide support, coaching, and mentoring to team members.
Knowledge and Experience Required
Post-secondary degree or certification in Information Technology
ITIL certification an asset
Knowledge of analytics and integrations an asset
Minimum 2 years of experience as team lead or supervisor in an IT application support environment
Minimum 5 years of IT experience in one or more of the following roles: Software Developer, Systems Analyst, Software Integrator, Team Lead, Solutions Architect.
Experience in assigning tasks to team members and monitoring progress to meet specific deadlines
Demonstrated knowledge of managing IT tickets, incident management and tracking
Ability to work effectively with users and IT Teams to build broad consensus related to DAI supported applications
Demonstrated knowledge of using a service desk ticketing system, incident management and tracking
Ability to negotiate and influence others in a collaborative way
Strong knowledge of formal change management processes (ITIL)
Excellent attention to detail and the ability to effectively multi-task
Computer skills, including advanced proficiency with Microsoft Office, SharePoint, Teams, MS Planner
Experience in Project management software (e.g., OnePlan, SmartSheet, MS Project, …etc.)
Experience interacting with stakeholders managing and coordinating projects
Strong planning, prioritizing and time management skills - must be able to undertake and manage multiple tasks at the same time and work under tight deadl
